Easy Productivity also works well when organizing tasks within a project. Consider this (simplified) list used during the development of a website. Notice how the title is used to group the mini to-do lists.

Tasks Related to Long-Term Goals

A Long-term goal (unlike a project) might not have a specific ending point. For instance, goals such as “Improve Posture”, “Learn Chinese” or “Communicate More Clearly” could take years or take a lifetime of dedication. Break down goals like that into smaller tasks.

Combining Tasks, Projects and Long-term Goals?

What happens when tasks, projects and long-term goals intermingle on the same mini to-do list? How do you handle that? Here are two options.

Option 1 – Use a Circle

Use a circle to mark up projects and goals that you have worked on that day. Unfortunately, you won’t have a record of the tasks completed. On shorter term projects and goals this might not be an issue for you.

Option 2 – Use an Equal Sign

Use an equal sign to indicate a relationship between a “general” and a “specific” item. This will help you record the steps taken to move the project or goal forward.

I left the first item undone since the red strikethrough is obliterating the equal sign. When writing by hand this won’t be an issue for you.

The Challenge – Step by Step

1. Take a few slow, deep breaths to clear your mind.

2. Ask yourself, “What are the next three things that I am going to do?”

3. Write those three things down on a Post-it note or in a notebook.

4. Start working on one of them immediately.

5. Do everything you can to complete all three.

6. Mark each item accordingly.

7. Repeat.
